Policies & Protocols

Below are several of our policies and protocols.  Please take a moment to review them and be sure to contact us if you have any questions.

COMMUNICATING WITH US

There are several ways to communicate with us based on your needs.  To make a new or follow up appointment, you can utilize our online form or call us at 919.787.1374

You can call the same number above to reach a specific department or you can message us through our patient portal.

If you need to reach us regarding your ongoing care, you can message us through our patient portal or select the triage nurse option when calling us. 

Our goal is to respond to all portal or phone messages within 1 business day.  Depending on when you send/leave a message, we might respond the next business day.

If you have an urgent medical need when our office is closed, one of our physicians is available to assist.  Call and select to speak to the on-call physician.  Since our physicians rotate this coverage, your regular physician may not be the one handling your urgent need.

MISSED OR LATE CANCELLATION/RESCHEDULING OF APPOINTMENT, TESTING, & SURGERY

If you miss or reschedule/cancel your appointment within 24 hours of the appointment, you may be charged $50.  If you miss or reschedule/cancel your testing appointment within 48 hours (VNG)/72 hours (allergy) of the appointment, you may be charged $200.  If you miss or reschedule/cancel a surgery within 7 days of the surgery, you may be charged $200.  If you miss your appointment more than three times, you may be discharged from the practice.  Fees will be collected at the time of the reschedule/cancellation.

FINANCIAL & INSURANCE

Unless we are filing a claim with your insurance, you will be expected to pay in full on the date of service.  In order to process your insurance claim, you will need to provide a current insurance card at each appointment.  We will collect your share of the cost of the surgery, e.g., deductible and/or coinsurance, when scheduling the procedure.  For more information, please review our Consent for Treatment & Financial Policies.

MEDICATIONS

All medication refill requests must be sent electronically from your pharmacy.

If you take a medication for a chronic condition, we will continue to refill the medication over the course of 1 year.  You will need to be seen and evaluated on an annual basis to continue to receive the medication.

Antibiotic medications will only be refilled if you have been seen and treated within last 30 days.  A follow-up appointment is required after that time.

Narcotic medications will not be prescribed after hours.

FORM AND LETTER REQUESTS

Requests to complete any type of form or letter will be completed in 7-10 business days.
